# Keystone

> An internal knowledge base plugin for WordPress. Keystone adds a fully-featured team knowledge hub directly into WordPress - no external platform or monthly SaaS fee required.

Keystone is built for small teams that already run on WordPress and want their internal knowledge - SOPs, training materials, policies, reference docs - to live there too. Everything happens inside wp-admin. There is no front-end output. Members never leave WordPress to access their assigned content.

Keystone is a paid plugin sold via Freemius, starting at $59/year. It is not available on WordPress.org. Built and maintained by Sean Davis (Crispy Div). Requires WordPress 6.0+ and PHP 8.2+.

## What Keystone is not

- Not a public-facing knowledge base or help center
- Not a learning management system (LMS)
- Not a project management tool
- Not a front-end plugin - all output is wp-admin only
- Not limited to tracked completion - the accountability features are optional; Keystone works equally well as a pure reference knowledge base

## Content structure

Keystone organizes knowledge in three layers:

- **Sections** - top-level groupings (a taxonomy). Used to organize Modules by department, topic area, or team.
- **Modules** - containers for Items. Two types: Required (tracked, with assignments and completion) and Reference (browsable, open or restricted).
- **Items** - the actual content units, built in the WordPress block editor. Six types: Reading, Checklist, Knowledge Check, Document, Video, and Survey.

## Key features

- **Assignments** - managers assign Required modules to specific team members
- **Completion tracking** - members mark items complete; managers see who has and hasn't finished
- **Sequential completion** - optionally lock items so members must complete them in order
- **Recompletion** - managers can require members to re-read or re-acknowledge updated content
- **Due dates** - module-level team deadlines, with per-member overrides set on the Member Profile
- **Reports** - completion rates by section and module; exportable as CSV
- **Favorites** - members can bookmark items for quick access
- **Topics** - managers label items with cross-cutting tags; members filter by topic on their dashboard
- **Surveys** - members answer multiple-choice questions; managers see aggregated response tallies
- **Sample content** - a fully populated example knowledge base can be generated in one click, adopted as a starting point or removed entirely
- **Open access modules** - Reference modules can be made available to all team members without assignment. This effectively transforms Keystone into an open internal knowledge base with no completion tracking, assignments, or due dates - a legitimate standalone use case for teams that just want a structured, searchable knowledge library inside WordPress without any of the accountability layer.
- **Custom plugin label** - the plugin name displayed in wp-admin can be customized (e.g. "Knowledge Base" instead of "Keystone")
- **Capability system** - three caps (keystone_manage_all, keystone_manage_section, keystone_view_assigned) that work with existing WordPress roles or custom roles
